We retain your data for as long as your account is active or as needed to provide the Service. If you cancel your account, we may retain certain data for a limited period as required by law, for fraud prevention, or to resolve disputes. Aggregated and de-identified data derived from your usage may be retained indefinitely for analytics and platform improvement purposes.
FieldOps integrates with third-party service providers to deliver core Platform functionality. When you use features that involve these providers, certain data is shared with them as necessary to operate those features. Each third-party provider is governed by its own privacy policy, and we encourage you to review those policies.
Subscription billing and payment processing are handled by Stripe, Inc. When you enter payment information, it is submitted directly to Stripe and processed under their security and compliance framework (PCI-DSS compliant). FieldOps does not receive, store, or process raw payment card data. We receive only tokenized references and summary billing metadata from Stripe necessary to manage your subscription.
Transactional and operational emails are delivered through third-party email service providers, which may include Amazon Web Services Simple Email Service (SES) and/or SendGrid. These providers process email content and recipient data solely for the purpose of message delivery and delivery reporting. Customer-facing emails generated by the Platform (estimates, invoices, portal links) are routed through these providers.
Route optimization, address geocoding, and map display features are powered by Mapbox. Address data and, where applicable, GPS coordinates are transmitted to Mapbox to generate routing results and map visualizations. Mapbox processes this data in accordance with their privacy policy.
Certain AI features within the Platform may be powered by third-party large language model (LLM) providers or machine learning APIs. Where your data is submitted to such providers as part of generating AI outputs, it is processed under the applicable provider's data processing terms. FieldOps selects providers that offer appropriate data protection agreements and does not authorize providers to use your data for independent model training without your consent, to the extent such commitments are available.
The Platform is hosted on cloud infrastructure provided by third-party hosting providers. These providers may have access to hardware-level infrastructure on which your data resides but are bound by contractual obligations to maintain appropriate security controls and not access customer data except as required for infrastructure operations.
FieldOps does not sell, rent, or trade your personal data or business data to third parties for their independent use, advertising purposes, or commercial benefit. Data shared with third-party providers is shared only as necessary to operate specific features of the Platform.
You retain full ownership of all business data, customer data, employee data, financial data, and other content you create, upload, or generate within the Platform. FieldOps does not claim ownership of your data. Your data belongs to you and your organization.
By using the Platform, you grant FieldOps a limited, non-exclusive, revocable license to access, store, process, and display your data solely for the purpose of providing, maintaining, and improving the Platform and its features as described in this Policy. This license does not extend to selling your data, licensing it to unaffiliated third parties for their own use, or using it for purposes unrelated to operating the Service.
FieldOps is committed to data portability. Where technically feasible and upon reasonable request, we will provide you with an export of your business data in a common format (such as CSV or JSON). Data export requests may be submitted through the Platform's account settings or by contacting FieldOps support. Availability of data export features may vary by subscription tier and platform version.
Following account cancellation or termination, we may retain your data for a limited period to allow for account reactivation, dispute resolution, or compliance with legal obligations. After this retention period, your data will be deleted or anonymized in accordance with our standard data lifecycle procedures. We cannot guarantee retrieval of data following account deletion. Users are encouraged to export critical data before canceling.
FieldOps's AI-powered tools — including smart estimates, job autopsy, crew performance analysis, dispatch recommendations, and profit insights — use your business data as input context to generate outputs relevant to your specific operations. This processing occurs within the Platform environment and is subject to the data protection measures described in Section 3.
FieldOps may use aggregated, anonymized, and de-identified data derived from platform-wide usage patterns to improve the accuracy, relevance, and performance of AI models over time. Before any data is used for model improvement purposes, it is stripped of personally identifiable information and business-specific identifiers to the extent technically feasible.
FieldOps does not share your individually identifiable business data — including your customer records, financial figures, employee data, or company-specific information — with third-party AI providers for independent model training purposes without your explicit consent. Where third-party AI APIs are used to process your data for generating outputs, this processing is governed by the applicable provider's data processing agreements.
All AI-generated outputs within the Platform are informational and experimental. They are not guaranteed to be accurate, complete, or appropriate for your specific circumstances. Users must independently verify all AI-generated recommendations before acting upon them. Please review Section 6 of the Terms and Conditions for the full AI disclaimer and limitation of liability.
You are solely responsible for the accuracy, completeness, and legality of all data you enter into, upload to, or generate within the Platform. FieldOps does not independently verify the accuracy of user- or company-submitted data and is not liable for errors, inaccuracies, or omissions in data provided by users. Inaccurate data entered into the Platform may result in incorrect financial reports, scheduling errors, AI output inaccuracies, or other operational consequences — all of which are the sole responsibility of the User.
When you enter information about third parties (customers, employees, subcontractors, etc.) into the Platform, you represent and warrant that you have the legal right to collect, store, and process such information for the purposes described in this Policy, and that doing so complies with all applicable privacy laws, employment laws, and contractual obligations. FieldOps is not responsible for your compliance with laws governing the collection and use of third-party personal data.
You are responsible for maintaining the security of your account credentials and for all activity that occurs under your account. You must not share your login credentials with unauthorized users. If you suspect unauthorized access to your account, you must notify FieldOps immediately and change your password. FieldOps is not liable for losses resulting from unauthorized access caused by your failure to maintain account security.
FieldOps is a field operations platform and is not specifically designed to store highly sensitive categories of personal data such as Social Security Numbers, government identification numbers, health information, or other regulated sensitive data categories. You should avoid entering such data into the Platform. FieldOps assumes no special security obligations for sensitive data categories that are entered by users contrary to this guidance.
FieldOps reserves the right to update, modify, or replace this Privacy Policy at any time at its sole discretion. Policy updates may be made in response to changes in applicable law, changes to the Platform's features or data practices, or other operational requirements.
